Helperry — User Guide

A back-office and biodata-sharing platform built specifically for domestic helper agencies. This guide walks you through what the platform does today and how to try it yourself with the live demo.

You can log in to a real, working demo agency ("Sunrise Helpers") preloaded with three sample helpers. Nothing you do affects real data — it's a shared sandbox.

The demo login is limited to the helper tools — you'll see Helpers, Documents, and Biodata links, all scoped to the Sunrise Helpers agency.

See a candidate biodata page first (no login)

This is what your employer-clients receive — a clean, mobile-friendly biodata page, watermarked with their name and view-tracked. Open any of these on your phone:


What you can do today

1. Manage helper biodata

Each helper has a structured profile — no more scattered PDFs:

To try it: log in → Helpers → click a helper to edit, or Add Helper to create your own.

2. Attach photos and documents

From inside a helper's page you can upload:

This is the headline feature. Instead of emailing PDFs:

  1. Open a helper → go to Biodata linksAdd
  2. Enter the employer's name (this becomes the watermark across the page)
  3. Save — a unique, shareable URL is generated

To try it: in the demo, open Biodata links, use the Copy button to grab a share URL, or Open to preview the public page. Select links and use Revoke selected to kill them.

4. Invite a helper to submit their own details

Instead of keying in a new helper yourself, you can send the helper a unique form link and let them fill in their own details:

  1. Go to Helpers → Invite linksAdd invite link
  2. Give it an internal label (e.g. the helper's name or referral source)
  3. Save — a unique URL is generated; copy and send it to the helper via WhatsApp, email, or SMS

When the helper opens the link they see a clean form (no login required) where they enter their name, nationality, date of birth, passport details, and can upload a photo and passport scan. On submit, a new helper record is created automatically in Draft status, ready for you to review and complete.

This is a shared demo link — invite links are single-use, so if it shows "already used" someone else got there first. Log in to the demo and create a new one under Helpers → Invite links.

5. Document expiry alerts

Helperry automatically emails your team when a helper's document is approaching expiry — at 90 days, 30 days, and 7 days before the expiry date. Each threshold fires once per document so you don't get repeat messages.

You can also see a live Upcoming Expiries panel on your dashboard, showing all documents expiring in the next 90 days colour-coded by urgency.

6. Placement invoices

Create and print professional invoices for placement fees directly from Helperry:

  1. Go to InvoicesAdd invoice
  2. Select the employer and helper, set the issue date and status
  3. Add line items (agency fee, levy reimbursement, etc.) — Singapore FDW preset amounts are available
  4. Save, then use Print to generate a clean PDF you can email or keep on file

Invoices are auto-numbered by year (e.g. INV-2026-001) and include your agency name, address, UEN, and payment instructions automatically if you've filled in your Agency Profile.
