Helperry — User Guide
A back-office and biodata-sharing platform built specifically for domestic helper agencies. This guide walks you through what the platform does today and how to try it yourself with the live demo.

You can log in to a real, working demo agency ("Sunrise Helpers") preloaded with three sample helpers. Nothing you do affects real data — it's a shared sandbox.

The demo login is limited to the helper tools — you'll see Helpers, Documents, and Biodata links, all scoped to the Sunrise Helpers agency.

This is what your employer-clients receive — a clean, mobile-friendly biodata page, watermarked with their name and view-tracked. Open any of these on your phone:

What you can do today
1. Manage helper biodata
Each helper has a structured profile — no more scattered PDFs:
- Personal details: name, nationality, date of birth, marital status, children, height/weight, religion, education
- Passport number and expiry
- Languages with proficiency levels
- Skills — infant care, child care, elderly care, housekeeping, pet care, pork handling, cooking styles
- Work experience — country, years, and household type per posting
- Expected salary and off-days
- A status pipeline: Draft → Available → Interviewing → Deployed → Returned → Archived
- An optional reference code (e.g. DR125) for your own internal filing system
To try it: log in → Helpers → click a helper to edit, or Add Helper to create your own.
2. Attach photos and documents
From inside a helper's page you can upload:
- Profile and gallery photos (auto-resized on upload)
- Documents — passport, work permit, medical report, biodata PDF, or other — each with issued/expiry dates
3. Share a biodata link with an employer
This is the headline feature. Instead of emailing PDFs:
- Open a helper → go to Biodata links → Add
- Enter the employer's name (this becomes the watermark across the page)
- Save — a unique, shareable URL is generated
The link is:
- Watermarked with the employer's name (discourages forwarding/leaks)
- Auto-expiring (7 days by default)
- Revocable any time — one click and the link goes dead
- View-tracked — you see the view count, last-viewed time, and a per-view audit trail (so you know if the employer actually opened it, and how often)
To try it: in the demo, open Biodata links, use the Copy button to grab a share URL, or Open to preview the public page. Select links and use Revoke selected to kill them.
4. Invite a helper to submit their own details
Instead of keying in a new helper yourself, you can send the helper a unique form link and let them fill in their own details:
- Go to Helpers → Invite links → Add invite link
- Give it an internal label (e.g. the helper's name or referral source)
- Save — a unique URL is generated; copy and send it to the helper via WhatsApp, email, or SMS
When the helper opens the link they see a clean form (no login required) where they enter their name, nationality, date of birth, passport details, and can upload a photo and passport scan. On submit, a new helper record is created automatically in Draft status, ready for you to review and complete.
Each invite link is:
- Single-use — once submitted it can't be reused
- Time-limited — expires after 30 days
- Resettable — if a helper needs to re-submit, an admin can reset the link from the invite detail page

This is a shared demo link — invite links are single-use, so if it shows "already used" someone else got there first. Log in to the demo and create a new one under Helpers → Invite links.
5. Document expiry alerts
Helperry automatically emails your team when a helper's document is approaching expiry — at 90 days, 30 days, and 7 days before the expiry date. Each threshold fires once per document so you don't get repeat messages.
You can also see a live Upcoming Expiries panel on your dashboard, showing all documents expiring in the next 90 days colour-coded by urgency.
6. Placement invoices
Create and print professional invoices for placement fees directly from Helperry:
- Go to Invoices → Add invoice
- Select the employer and helper, set the issue date and status
- Add line items (agency fee, levy reimbursement, etc.) — Singapore FDW preset amounts are available
- Save, then use Print to generate a clean PDF you can email or keep on file
Invoices are auto-numbered by year (e.g. INV-2026-001) and include your agency name, address, UEN, and payment instructions automatically if you've filled in your Agency Profile.
What's coming next
These are on the roadmap, not yet live: requirement-based candidate matching and an employer inquiry inbox.
Notes
- The demo is a shared sandbox — other people trying it may add or edit helpers. It's periodically reset.
- The demo login can't see or touch any other agency's data — each agency's helpers are fully isolated.
